Starting with TransportTracking™ powered by XT™, TeleTracking is launching a new generation of browser-based patient flow solutions developed with the power of its new TeleTrackingXT platform architecture.

TransportTracking™ powered by XT is a true enterprise solution providing scalability, functionality and more ease-of-use for what has always been the industry standard in “dispatcherless” transport management automation.

The XT platform is an MS SQL-based, robust, enterprise-ready format that can provide a single data repository for all TeleTracking applications as they are created. This data set can be referenced, updated and utilized by multiple applications. Plus, upgrades and installations can be completed on-line, eliminating the need to visit each workstation.

TeleTracking XT is capable of handling multiple input sources and output channels, optimized for touch screen deployment. It also supports handheld devices for every application ported to them, and those being developed for XT users for a variety of functions.

Interactive Voice Response (IVR) — Leveraging one of the most ubiquitous networks in any hospital, the telephone system, transporters use the phone as a key interface to communicate important and timely information. It can deliver notifications via paging (digital, alpha, SMTP, email, SNPP, DAL), paging screen pop-ups (scheduled for introduction with subsequent XT applications) and e-mail. TransportTracking powered by XT also supports additional telephony technologies, including digital and Voice Over Internet Protocol (Internet phone service).





What’s new?

A new look — With a browser-based GUI (Graphical User Interface), the ability to deploy TransportTracking on every desktop is immensely simplified. The interface has been designed for better ease-of-use while retaining most of the same color coding for maximum continuity with upgrading clients. Numerous view configurations are also available.

The interface was designed following hundreds of hours of research on the way healthcare professionals work. The intent was to produce a human-computer interaction which would be more intuitive than any competitor’s, to the point of mimicking the users’ working style.

The touch screen format underscores this fact. It was designed to retain its simplicity even as additional products are ported to the new platform.

Decentralized Unity — Purely centralized departments are a thing of the past, but today’s healthcare environment demands that some centralized services must be deployed rapidly to areas that do not have dedicated staff. That complicates the problem of access to patient data, especially vis a vis HIPAA. To that end, the XT operating system has incorporated a “membership” concept that allows resource staff (transporters, bed cleaners, maintenance staff, etc) and requestors (clinical staff) to see only the patients who are (or will be) interacting with their department.

This not only supports HIPAA guidelines for restricting view access, but allows for resource staff to report to the department they serve, instead of the central department that only houses their time card. Of course, supervisors can control these membership rights in any combination of decentralized and centralized functions for maximum benefit.

Flexible logic — Dispatching logic has been the core strength of TeleTracking Technologies since its inception in 1995. Twelve years of dispatching refinements are now embodied in the new XT platform, and available for all XT products going forward. The application itself functions as a dispatcher, finding the most appropriate and available employee for a transport task.

Automated dispatch means no need for manual assignments or tracking transport requests. This is the most powerful feature that separates our solution from competitors. It allows transporters to be more self-reliant and flexible to the situation at hand. They may work largely without heavy supervision while management can be automatically notified if any job becomes “distressed” for any reason. This frees up supervisory staff to focus on more serious issues. No competitor comes close to duplicating the dispatching logic used in the legacy application; and XT will push it even further.

Dispatch Sets — For the first time, system administrators will have the ability to “shape and mold” how TransportTracking™ makes dispatching decisions.

Users can address volume variances and measure performance by creating dispatching sets with highly flexible parameters. They can compare the performance statistics from different deployment methods, different patient volumes, and different time periods in order to select the set that will produce the best results under specific conditions.

TransportTracking powered by XT now assigns a Dispatch Value (DV) to each job, calculated when an employee becomes available. This DV is based on multiple factors that can be fine-tuned by clients to a high degree, including zone assignment, proximity, priority, time and equipment match, many factors of which are weighted based on user input.

Supervisors can take some of the “mystery” out of how work should be delegated and expedited by tweaking some parameters and turning off others for more informed management decision-making.

Equipment Matching — Another enhancement on the XT platform is an equipment matching feature that can match a patient who needs a wheelchair with a transporter who has one. With equipment acquisition being a factor in facilities with minimal storage spaces, many users will find this a big benefit.

Proximity Matching — While this feature has long been the workhorse of TransportTracking,™ in the XT version it is upgraded to include more points of potential matching, and the assessment is not done until the precise second the transporter is available, offering more timely matching.

Reporting — Reporting capabilities in TransportTracking™ XT will surpass legacy capabilities regarding criteria selection, sorting, grouping and ordering options. Reporting output is controlled by a user’s membership; providing the only data that they need or want to see. The best reports from our legacy system have been carried forward with some new additions and consolidations.

TransportTracking powered by XT also reduces the time needed to determine why a job was dispatched in a particular manner. The dispatch monitor will explain the decision so users can discern if the current dispatch logic set is behaving in the manner desired. Reason code, an optional feature that captures data about transport delay, cancellation or rescheduling, gives clients significant variability in reporting on transport activity.

Structure of standard reports will be similar to the legacy version. However, some reports have been consolidated and others expanded to allow for additional criteria. Exporting reports to Microsoft Excel or PDF format will continue to be a feature of the reporting process.

Reports will include: Activity Detail by Job Number/ Employee Performance Reports/Demand-Supply-Response Key Indicators/, Response Time Exceptions/ Requests By Hour of the Day/ Volume By Cost Center/ Staff Analysis/Cancellation Activity Detail by Job Number/ Discharge Wait Time/Transporter Delay Analysis/ Transports by Response & Transport Time/ On-Time Arrival Report/ Employee Audit and many more.

The new solution will also provide an immediate Quick Reports known as the Employee Daily Report which can show up-to-the-moment employee performance for the current day.

Whereas daily transport statistics were only available via IVR in legacy, supervisors may now opt to see Real Time Key Indicators (RTKI) on their console in a transport activity dashboard. Indicators include average response time (appointments, on demand, ALL), average total trip time, average transit time, number of jobs pending (patients, items, TOTAL), average jobs completed per zone, jobs rejected by employee, and number of jobs adjusted per employee.
